Privacy Policy
Effective date: 7 October 2026 (updated to cover athlete intake and check-in questionnaires)
Pure Performance Technologies ("we", "us", "our") operates the Pure Performance app (the "App"), used by members and coaches of Pure Performance Wanaka and other participating gyms to deliver, log, and track personal training programs.
This policy explains what information we collect through the App, how we use it, who we share it with, and the choices you have.
1. Information we collect
Account information. When you or your coach create your account: your name, email address, date of birth, membership type, and (optionally) a profile photo and short bio.
Training and performance data. The programs your coach builds for you, the exercises, sets, reps, and loads you log during a session, your own notes on a session, and your coach's notes on your progress. This is health and fitness information, and we treat it as sensitive.
Intake and check-in answers. New athletes, and then monthly, are asked questions about their health and training: injuries and pain, medical and surgical history, medications and allergies, training habits, sleep, stress and energy, and, if nutrition coaching is part of their plan, eating and appetite. For athletes under 18 we also hold the name and contact details of a parent or guardian and a record of their consent. This is sensitive health information. Only the athlete's coaches at Pure Performance can see it. For athletes under 18, answers about food and body image are visible to the coach only and are not shown back to the athlete in summaries.
Assessments and video. When a coach runs a movement and performance assessment, we record the results, the coach's observations, and short video clips of the athlete doing each test, filmed in person or sent to the coach by the athlete. The coach confirms before filming that the athlete (and a parent or guardian if under 18) has agreed. Videos are stored in a private video library with time-limited viewing links, not in any public library, and only the athlete's coaching team can watch them. A coach can delete a clip at any time. Spoken notes are turned into text and the recording is not kept.
One-to-one session records. After a one-to-one session, your coach can record what you did by voice. We keep a record of the exercises, sets, repetitions and weights, which only your coaching team can see. You see a short summary (the date, how long, the total weight moved) and a note from your coach. Your coach reviews and approves the note before you can read it. The recording is transcribed and kept with your training record, like other coach recordings.
AI session builder. If this feature is switched on for you, you can tell the App what you feel like training and it builds one session from the Pure exercise library. What you type or say, and the session it builds, are kept in your account. To build the session, your request is sent to an AI service (Anthropic) together with your first name, age, sport, the names of your recent sessions and any limits your coach has set for you. We do not send your email, phone number or other details. You are asked to agree before you first use it, and you can withdraw that at any time from the session builder screen. Before any AI is used, a fixed set of safety checks looks for symptoms or injuries that need a person, and if one is found nothing is built and your coach is told. Your coach can see the sessions you choose to train, any request that was stopped for safety, and any where you mentioned pain, but not the rest of your back and forth. You can delete all of it at any time (see section 8).
Nutrition coaching. If you have the nutrition add-on, you answer a short weekly check-in about the habits you are working on, your energy, and how food felt, and you can add a note. We do not ask for or keep food weights, calories, body weight or photos. Your coach can see your answers, set your habits and send you notes. If an answer suggests something worth a conversation, such as skipping meals on purpose, your coach and the head coach are alerted so someone can check in with you. For anyone under 18, the nutrition answers from the intake are visible to coaches only. Only coaches who have been set up to deliver nutrition can see this information, and only for the athletes they coach.
Messages. Athletes and their coaches can message each other in the App. Messages can include health and training details, so we treat them as sensitive. Only the athlete and their coaching team at Pure Performance can read a conversation. Notifications about new messages say who sent one but never show what it says. Messages are kept for as long as the athlete's account exists and are deleted with it. Messages are not monitored around the clock, and the App tells athletes to contact emergency services for anything urgent.
Calendar information. Athletes can tell their coach about camps, competitions, travel and exams, either by adding events by hand or by connecting a calendar they choose with a share link from Google, Apple (iCloud) or Outlook. We copy only the name, date and time, and place of each event. We do not read descriptions, guests or notes. We keep the share link securely, refresh it once a day, and use it only to read that calendar. Only the athlete's coaches can see the events, and the athlete can hide any event from their coach or disconnect the calendar at any time, which removes the link and the events it brought in.
Athlete voice answers. Athletes can speak an answer instead of typing it. The recording is sent for transcription and is not kept: only the text is kept, and only if the athlete sends it in.
Voice recordings and transcripts (coaches). Coaches can dictate a program, assessment, or session note by recording their voice in the App. That audio is transcribed and processed to build your structured program. The audio recording and its transcript are both retained as part of the training record unless a coach deletes a specific recording.
Exercise video content. The App includes a library of instructional exercise videos. If your coach films and uploads their own demonstration video, that video is stored and streamed through our video hosting provider.
Device and technical information. Basic technical data needed to run the App securely — device type, app version, and sign-in session information.
2. How we use your information
- To deliver your training program and let you log your sessions
- To let your coach review what you've logged and give you feedback
- To use AI (see section 3) to turn a coach's spoken or typed program into a structured schedule of workouts and exercises
- To maintain the security of your account and the App
- To improve the App based on how it's actually used
We do not use your training or health data for advertising, and we do not sell your personal information to anyone.
3. AI processing
Parts of the App use third-party AI services to do their job:
- Anthropic (Claude) processes dictated or pasted program text to structure it into a schedule of workouts and exercises, matched against your gym's exercise library. When a coach asks the AI to change or add to a program in the program editor, the program, the coach's request and, for the athlete on that program, their first name, age, sport and any limits the coach has set are sent too. Nothing else about the athlete is sent.
- OpenAI (Whisper) transcribes voice recordings into text so they can be processed as above. It also transcribes an athlete's spoken intake answers and a coach's spoken requests in the program editor; those recordings are not kept.
- Anthropic (Claude) also reads intake and check-in answers to pull out key facts, such as dates and areas of the body, and to draft a starting report for the coach. A coach edits and approves every report before it is shared. The AI does not make decisions about training or health, and it is not shown an under-18 athlete's food and body-image answers.
These providers process this data on our behalf under their own data protection commitments; they do not use it to train their own models on our data, and it is not shared with them for any purpose beyond providing this transcription/structuring service to us.
4. Who we share information with
- Your coach and gym admin staff, who can see your logged sessions, notes, and progress, as needed to coach you.
- Service providers who host and run the App on our behalf, specifically: Supabase (database, authentication, and file storage), Vercel (application hosting), Bunny.net (video hosting), Anthropic and OpenAI (as described above). Each only receives the data needed to perform its function and is contractually restricted from using it for other purposes.
- Legal or safety reasons, if required by law or necessary to protect the rights, property, or safety of Pure Performance, our members, or the public.
We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.
5. Where your information is stored
The App's database is hosted on servers located in Sydney, Australia. If you are in New Zealand, this means your information is transferred and stored overseas. We only work with providers that maintain security and privacy standards consistent with what is required under New Zealand law.
6. How long we keep your information
We keep your account and training data, including voice recordings and their transcripts, for as long as your account is active, and for a reasonable period afterward in case you or your coach need to refer back to it, or as needed to meet our legal obligations. You can delete your account and all your data yourself at any time, from the Account page in the App, or ask us to do it (see section 8). Deleting is permanent. It removes your profile, sign-in, training history, check-ins, intake answers, assessments and videos, messages, nutrition information, calendar links, parent or guardian details, and the coach recordings and transcripts about you. We keep only a short note that an account was deleted, with the date and who asked, and no name, email or health details. Copies held in our system backups are removed when those backups are replaced, which happens within a short time.
7. Security
We use industry-standard measures to protect your information, including encrypted connections, database-level access controls that restrict who can see what (a member can only see their own data; a coach can only see members assigned to them), and secure authentication. No system is 100% secure, but we take reasonable steps to protect your information against unauthorized access, loss, or misuse.
8. Your rights and choices
Under the New Zealand Privacy Act 2020, you have the right to:
- Ask what personal information we hold about you and get a copy of it
- Ask us to correct information that is wrong
- Delete your account and personal information (you can do this yourself in the App, or ask us)
- Withdraw consent to voice recording (you can decline to use voice dictation features; your coach can build your program another way)
To exercise any of these rights, contact us at john@pureperformance.co.nz. We'll respond within a reasonable time and in any case within the timeframes required by law.
9. Children and young people
The App is not directed at children. Athletes under 18 can use it only through the gym's coaching relationship and with a parent or guardian's agreement. We ask the parent or guardian to agree before the athlete's health questionnaire is sent in, and we record that agreement. A parent or guardian can ask us at any time to see, correct or delete the athlete's information by contacting us (see section 8).
10. Changes to this policy
We may update this policy from time to time as the App changes. We'll update the effective date above when we do. Significant changes will be communicated to members directly where practical.
